Catholic Mobilizing Network is a national organization that mobilizes Catholics and all people of goodwill to value life over death, to end the use of the death penalty, to transform the U.S. criminal justice system from punitive to restorative, and to build capacity in U.S. society to engage in restorative practices. Through education, advocacy, and prayer, and based on the Gospel value that every human is created in the image and likeness of God, CMN expresses the fundamental belief that all those who have caused or been impacted by crime should be treated with dignity. General Description 

Catholic Mobilizing Network seeks an accomplished Executive Assistant with experience in administration in a dynamic, non-profit environment.

This is full-time, based in Washington, DC.  CMN is looking for an enthusiastic, independent, and attentive professional to provide high-level administrative and operational support to the Executive Director.

The Executive Assistant’s responsibilities will include leadership in the management and enhancement of internal systems for Catholic Mobilizing Network as well as a key role in organization-wide event logistical coordination.

Responsibilities

Administrative Support for Executive Director

  • Prepare paperwork and calendaring for speaking engagements & ED’s meetings
  • Assist in securing travel and meeting logistics for ED
  • Maintain confidentiality about all official matters
  • Coordinate CMN internal planning, retreat and in-service meetings, including logistics
  • Arrange logistical elements for organizational planning, and staff trainings
  • Implement office and business systems development for organization 
  • Other administrative functions and projects as assigned

Internal Office Coordination and Logistics

  • Respond to ongoing mailing of material requests on a weekly basis
  • Arrange regular IT support, storage, and equipment service
  • Prepares quarterly grant budget reporting system
  • Occasionally pull database lists, queries
  • Order office supplies and inventory materials
  • Participate in weekly staff meetings 
  • Develop a system for organizing, storing, securing, and archiving CMN documentation

Board of Directors Administrative Support

  • Coordinate new board member onboarding 
  • Distribute and collect necessary paperwork annually 
  • Staff board meetings, coordinate, circulate meeting minutes and recordings
  • Support quarterly board meetings by finalizing prep materials, gathering committee reports and distributing documents

External Meeting Support

  • Provide on-site event support for CMN’s annual conferences and/or anniversary events
  • Support event follow up with vendors and participants
  • Update event reports on a regular basis, depending on needs

Supervision

This position reports directly to the Executive Director.

Ideal Candidates Have: 

  • Five to seven years of progressively responsible administrative support experience required
  • Background that includes demonstrated senior management support experience & wisdom 
  • Ability to juggle multiple projects, meet deadlines, and keep things moving while maintaining a high attention to accuracy and detail
  • Experience tending to Board of Directors a plus
  • Excellent interpersonal skills and strong project management
  • Technical savvy with Google Suite and Microsoft Office
  • Database experience, SalsaCRM a plus
  • Professional level verbal and written communication skills
  • Experience working independently and an appreciation for collaborative work environment 
  • Commitment to the core values of CMN, including a commitment to racial equity
  • Knowledge of CMN and a passion for being part of a mission-driven organization
  • Comfort working in a faith-based organization and familiarity with Catholic teachings 
  • Exceptional skills demonstrated by work experience 
  • Bachelor's degree a plus

  • The starting salary range is $45K-$55K based on experience
