Job Opening: Executive Administrator

Catholic Mobilizing Network (CMN) seeks an accomplished Executive Administrator with experience in administration in a dynamic, non-profit environment.  CMN is looking for an enthusiastic, independent, and attentive professional to provide high-level administrative and operational support to the Executive Director.  The Executive Administrator’s responsibilities will include two key areas: detailed administrative support of the Executive Director as well as key strategic attention toward major gift stewardship.   

This is full-time, based in Washington, DC. Position may require travel approximately six times per year. Some flexibility to work offsite. The Executive Administrator is supervised by the Executive Director.

Responsibilities

Administrative Support for Executive Director

  • Attend to Executive Director’s daily calendaring, speaking engagements and meetings
  • Assist in securing travel and logistics for Executive Director
  • Arrange organizational planning, staff trainings, retreats logistical elements 
  • Handle monthly expenses and reconciliations 
  • Assist in the coordination of annual budgeting process and quarterly budget reviews
  • Order office supplies and inventory materials quarterly
  • Participate in weekly staff meetings 
  • Maintain confidentiality about all official matters

Stewardship of Major Gifts Support

  • Support the Director of Development and Executive Director in stewardship of major gift prospects and existing major donors
  • Utilize CRM to record accurate and timely records of all interaction, next steps, and planned follow-up with major donors and prospects
  • Lend event assistance for CMN’s conferences and/or anniversary events related to major gift solicitation and cultivation
  • Provide staff support for process of assessing major donor caseload and qualifying  new prospects for major gifts

Board of Directors Related Administration

  • Coordinate new board member onboarding
  • Arrange all logistical details for annual in-person meeting (in August)
  • Support virtual board meetings (3), finalizing prep materials, gathering committee reports and distributing documents
  • Attend relevant committee meetings of the Board

Ideal Candidates would have: 

  • 3-5 years of administrative or fundraising experience 
  • Background that includes demonstrated senior management support experience
  • Ability to juggle multiple projects, meet deadlines, and keep things moving while maintaining a high attention to accuracy and detail
  • An ability to follow through on tasks and layered projects with accuracy and attention 
  • Excellent interpersonal skills and strong project management
  • Technical savvy with Google Suite, Microsoft Office and database experience 
  • Professional level verbal and written communication skills
  • Experience working independently and an appreciation for collaborative work environment 
  • Commitment to the core values of CMN, including a commitment to racial equity
  • Knowledge of CMN and a passion for being part of a mission-driven organization
  • Comfort working in a faith-based organization and familiarity with Catholic teachings 
  • Exceptional skills demonstrated by work experience 
  • Bachelor’s degree a plus
